PROBLEM DEFINITION

Large corporate campuses often present a variety of challenges for employees, visitors, and facility management. Workspaces, meeting rooms, parking areas, and other resources are frequently underutilized due to a lack of real-time availability data or limited accessibility to that information. In addition, orientation across expansive sites can occasionally be difficult. Service offerings such as cafeteria menus, shuttle services, or room bookings are typically organized in a decentralized manner and are not integrated into a single system. Many sites also lack digital tools that holistically support daily operations, automate processes, and enable data-driven decision-making. An integrated solution that intelligently connects navigation, workspace management, and service features is therefore essential to meet today’s demands for flexibility, efficiency, and user-friendliness.

SOLUTION

The smart all-in-one solution combines multiple modules into an intelligent platform for modern work environments. Integrated resource and workspace management enables easy booking of desks, meeting rooms, and lockers. Availability is displayed in real time using sensor data and can be seamlessly synchronized with calendars and room scheduling systems. An assistant feature also allows bookings to be made on behalf of others.

Precise navigation supports on-site orientation, including barrier-free routing. Users can view their current position at any time, along with relevant destinations and nearby services.

Mobility needs are also addressed: live information on available parking spaces and electric vehicle charging stations, including reservation options, as well as guidance on shuttles, bike stations, and public transport support a sustainable and efficient infrastructure.

For added convenience in everyday work life, a digital cafeteria solution offers an interactive menu with practical filter options (e.g. vegan or gluten-free), pre-ordering for meeting catering, and mobile payment. Real-time occupancy displays help users avoid peak times. The system also enhances internal communication and social interaction: a Colleague Finder shows colleagues’ locations based on individual sharing settings, complemented by team overviews and real-time availability status (onsite or remote). Company news, event bookings, push notifications, and onboarding features further strengthen the overall employee experience.

TECHNICAL IMPLEMENTATION

Only a minimal number of hardware components are required for implementation. infsoft AI Occupancy Sensors or PIR/TOF sensors are installed on the ceilings of the respective rooms using magnetic mounts. Gateways in the form of compact infsoft Locator Node Dongles can be easily integrated into existing infrastructure, such as access points, at central locations. Optionally, infsoft E-Ink Displays can be added for visualization purposes, for example, outside room doors. The exact quantity depends on the specific requirements and use cases.

Occupancy data for workspaces, meeting rooms, and other areas is reliably captured using infsoft AI Occupancy Sensors as well as PIR/TOF sensors. The collected information is immediately transmitted via an infsoft Locator Node Dongle to the infsoft LocAware platform®, where it is centrally processed, analyzed, and made available to subsequent systems. Real-time occupancy information is integrated directly into the Workplace Experience App, enabling dynamic management and booking of resources such as workspaces or lockers. At the same time, occupancy and utilization data can be visualized and seamlessly incorporated into existing facility management processes, for example, for demand-driven cleaning.

Additionally, the captured data is automatically displayed on infsoft E-Ink Displays. These battery-powered e-paper screens integrate seamlessly into the system and are continuously updated with current information. This ensures that users on site always have access to the latest details such as room availability, navigation, or status indicators. The displays can be used for room signage as well as to show real-time occupancy information, for example on floor plans. The infsoft LocAware platform® forms the foundation of the solution, enabling efficient, data-driven management of all relevant processes. This creates a scalable system architecture for modern workplace environments, delivering high user satisfaction and measurable operational efficiency.
